Rental Information: General Usage Guidelines

1. Hall Availability

  • Standard hours of operation: The Great Hall and associated spaces will be generally available for reservation from a.m. to p.m. Because there will be multiple daily users, a minimum one-hour change over period must be factored between differing uses.

  • The Great Hall of the GBPAC will be generally available for use from August 15 through July 1.

  • The GBPAC will consider reservations during Federal and State holidays and UNI breaks, within the limits of available staff and resources.

2. Related Space Usage

Use of the Great Hall in the Gallagher-Bluedorn Performing Arts Center includes access to the McElroy Lobby, restrooms, and backstage areas before, during, and immediately following the performance. Any stand-alone ancillary activities, such as pre-concert lectures, fundraisers, or meals must be contracted for and scheduled separately, and may involve additional rental, labor, and equipment fees.

3. Sales

All novelties, programs, souvenirs, or other items sold by users will have a 15% commission applied to gross sales receipts payable to GBPAC immediately following the performance at which they were sold. If the user requires a GBPAC staff member to sell the user’s novelties, programs, souvenirs, or other items the commission will be 20%, with receipts payable to GBPAC immediately following the performance at which they were sold. A final accounting of all concession sales will be completed jointly by GBPAC and the renter within 30 minutes of the end of the performance at which they were sold. Renter is responsible for the collection and payment for all applicable taxes pertaining to Artist’s concession sales. Artist may not sell any food or beverage items.

4. ADA Compliance

Renter must comply with current Americans with Disabilities Act (ADA) policies and regulations. The user is responsible for all expenses associated with that compliance.

  • Based upon interpreter availability, the GBPAC will automatically provide an interpreter at cost on behalf of the user whenever a request is received from a patron.

  • Braille and/or large-print programs: when a patron requests a Braille or large-print program, it will be requested from the user. If the user cannot provide a program, the GBPAC will arrange to provide one to the requesting patron and charge user for all associated costs.

5. Smoking

Smoking is prohibited in all campus buildings. Smoking is not permitted in the seating area, on stage, or in the orchestra pit (except as required by script or contract).

6. Cameras and Recording Devices

In order to preserve the integrity of performances, protect copyrights, and show courtesy to audience members and performers, no video or audio recording devices or photography equipment shall be permitted in the Great Hall prior to or during any performance. User shall make specific arrangements with the GBPAC Operations department for any waivers for media access. No flash photography is allowed during performances.

7. Catering and Beverage Services

UNI Food Service is the primary caterer for the Center, and shall have the first right of refusal to serve all catered events taking place at the GBPAC. Permission to have alcohol served will be granted upon the approval of UNI food service following a request in writing by the user to the Operations staff of the GBPAC. UNI food service and the GBPAC reserve the right to refuse alcoholic beverage services.

8. Production Services

The GBPAC is managed and operated at all times by its own staff. Users are required to use GBPAC house and technical staff for their event. Users will be charged for these services at the rate detailed in the expense listing that accompanies this document.

  • Should additional assistance be required, or should an event require Union IATSE production support, arrangements will be made by the GBPAC for that assistance. The GBPAC reserves the right to determine and engage the appropriate number and type of personnel required for the safe and successful operation of all user activities at the GBPAC.

  • The Staff of the GBPAC reserves the right to approve in advance any additional Technical Support Personnel to be provided by user, and to dismiss the support personnel at any time.

  • A member of the production staff must be present backstage at all times when the hall is in use. UNI units may provide students to assist with set-ups under Technical Director supervision, however, only approved stage crew may handle stage systems.

  • For safety reasons, guests are not permitted backstage before, during, or after a performance, or during intermissions except by special arrangements with the Operations Department of the GBPAC.

  • The Staff of the GBPAC must approve in advance any additional Technical Support, equipment, sets, or materials to be provided by User. The GBPAC also reserves the right to refuse unsafe or inappropriate user-provided support equipment, sets, or materials.

9. Box Office and House Management Services

All users must utilize GBPAC ticketing (if ticketed), as well as GBPAC house management/ushers to ensure consistent service.

  • The Box Office will be open Monday through Friday from 8:30 a.m. to 4:30 p.m., Saturdays from 10 a.m. to 2 p.m. and for two (2) hours prior to curtain on performance dates.

  • Box Office charges including per ticket charges, credit card fees, and service charges are detailed in the listing of charges attached to this document. Users will be charged for these services at the rate detailed in the expense listing.

  • Per ticket charges must be included in the advertised price of event tickets.

  • All seating for all ticketed events taking place at the GBPAC will be on a reserved basis.

10. Advertising and Promotions

  • It is the responsibility of the user to plan, develop, and execute the advertising for activities scheduled in the Great Hall, subject to the stipulations in the user contract, or usage agreement.
